The full-time Office Administrator will be expected to commit to 40 hours per week. The Office Administrator works under the supervision of and in coordination with the Chair of the Board and CEO/Executive Director, or a designated Board member, on all policy matters and provides daily feedback on the status of efforts to achieve assigned tasks.

- Craft new policy concepts and implement approved policies and plans to promote achieving increased Vietnam War accounting results, membership, revenue and donor commitment.
- Continue overseeing the Archival Preservation Project until it reaches satisfactory completion and transition to George Mason University.
- Represent the League by attending DPAA/AFMES briefings and events, as well as DIA, VA and State Department briefings and events deemed relevant.
- Administer the League’s National Office, overseeing general office administration, such as scheduling, accounting, organization, donation processing, and other associated tasks, unless from senior US or foreign officials or specifically concern policy, in which case prepare DRAFTS for coordination with and signature by the CEO/Executive Director and Chair of the Board.
- Handle routine financial matters and tasks, with oversight by the Finance / Audit Committee, as appointed by the Chair in accordance with League Bylaws.
- Even though it is understood that now and, in the future, audits and tax filings are handled through an appropriate third-party agency which takes on standard legal liabilities, assist in the preparation of tax filing by providing financial information required for audits and tax filings.
- Participate in the hiring, onboarding, and management of employees and interns.
- Contribute to crafting new policies and implementation plans to increase membership, revenue, and donor retention.
- Implement new technological systems to streamline an array of processes, especially those offered through the creation of a new website via more capable website hosting service.
- Serve as Chair of League Annual Meetings and Point of Contact for arranging and organizing all meetings of the Board of Directors, coordinating in advance with the Chair of the Board or individuals specified by the Chair of the Board.
REQUIREMENTS
- Associate degree (or equivalent experience).
- At least three to five years’ related experience.
- Possess various office skills, including word processing, phone correspondence, data entry, paper and electronic filing, operating office equipment, assisting visitors, maintaining office calendars, appointment scheduling, and copying.
PREFERRED
- Bachelor’s Degree (or equivalent experience).
- At least five to ten years’ related experience.
- Advanced Microsoft Excel skills such as v-lookups and pivot tables; ability to analyze, interpret, and compile information from a variety of sources.
- QuickBooks Accounting Software experience
